Meeting notes: February 12th, 2009 [Feb. 12th, 2009|09:22 pm] hoskie Meeting called to order at 8:02 PM President’s Report: With a conjunction of other people, lots of shit has gone down over the past week. I toured the new room with Matt and Lukas and we figured out the largest feasible shelf height (approx. 9ft). We have a way to get the shelves from USG, in theory, but if you all have any ideas for effective ways with a limited budget to get these shelves (e.g. if you happen to have 9 foot shelves that you’re not using, for example). THE 40th NOW HAS AN OFFICIAL DATE: SUNDAY, MARCH 15th IN SAC BALLROOM A FROM 4 PM TO 8 PM. Starting at around 12, we’re going to open the lounge and library so reminiscing can occur. There will also be a scheduled tour of the new club space. There are many ideas that have been brought to our attention regarding the 40th, but they came to us much too late to occur. We can’t do invitations, for example, but we are fighting tooth and nail to get Jim Frenkel here (since he is our founder). The concept of mailing out individual invitations cannot happen, budget wise, time wise, and resource wise. So we depend on you, all Forumites past and present who read this. If you know Forumites who don’t check the LJ, the Yahoo group, or the website: PLEASE TELL THEM THE DETAILS ABOUT THE EVENT. Forumites are a strong and self supporting community; we will do what we can to help people out, but our budget is stretched, but I’m sure those who may be travelling can work out carpools and/or shared hotel rooms. Ideally we will have a website up sometime soon with all of the information, but this will be posted various places. If you have any questions, please contact the powers that be (i.e. me). Shiftholders! You’re doing things! Keep it up! You’re redeeming yourselves this semester. Good on you. And good on your librarian overlord. Lukas: First week… we’ve been doing pretty good. I will not keep coming in during the morning and wasting twenty minutes cleaning up after all of you. (Jackie interjects: “… and take out the garbage!”) Also, Magic playing… it’s iffy ground, I know (since I do personally play Magic). I think we need to designate the bigger table (next to the bookshelves) for gaming and leave the smaller table for people who want to eat, socialise, etc. Also, try not to put your backpacks on the chairs because I’ve seen people come in and just stand because they don’t want to move other people’s stuff. … CLEAN! Aaron: There is a Facebook group for the 40th planning, but it was created specifically for officers and a few select others who are doing the physical planning. Do not be offended that I haven’t approved your membership. If you have any questions or feedback, post to the LJ or the Yahoo group. Advertising (Ian): Black Super Heroes day? … will be some point… in the near future…? Old Business Aaron: Jim Frenkel is quite probably coming in person for the 40th and we’re hopefully going to be able to fly him in. New Business Ian: Super happy fun allocation time! When I said earlier that we wouldn’t have the budget for invitations, I wasn’t just saying that because we’re lazy! We will be getting food from O Sole Mio. This order will include food for vegetarians, meat-eaters, and vegans. We feel we have enough food to accommodate most people’s dietary needs. In terms of common allergies, I’ll see if we can get the ingredients for the food listed. TOTAL COST: $1240 (caters for an estimated 200 people – we did look at competing vendors and we actually got a really good deal). 16 in favour. 0 opposed. 0 abstentions. Motion passes. Aaron was good enough to brave the stupidly designed Expedia site to look for a price to get Jim Frenkel in as conveniently as possible. The actual price is $269.44, but we’re allocating for “no more than $350” because we know that flight prices can fluctuate. 16 in favour. 0 opposed. 0 abstentions. Motion passes. We need supplies (to include sternos, plates, drinks, decorations, etc.) from BJ’s. The total cost is $336.67 and we’ll be allocating once again for “no more than $350.” 16 in favour. 0 opposed. 0 abstentions. So, as you can see… that’s about half of our remaining budget. And lastly, a new form of decision making has reached the Forum: TRIAL BY STONE. Two Forumites much each take a sword (not to be kept in the Forum!), find a large obelisk or stone pillar, and whoever does the most damage to the stone (taking turns for strikes) is the winner. The loser of this contest must then be stripped to their undergarments. … because muppets aren’t allowed to be naked. Jackie interjects: Kermit the frog! Ian: … he has that collar!
